The Type Of Personal Information We Collect

We currently collect and process the following information:-
 

  • Personal identifiers, contacts and characteristics (for example, name, date-of-birth, contact details, and photographs);

  • Sailing qualifications and experience;

  • Next-of-kin contact details;

  • Medical and health information;

  • Sailing aspirations;

  • Your vessel information;

  • Bank and/or payment information.


How We Get Personal Information And Why We Have It
 

Most of the personal information we process is provided to us directly by you for one of the following reasons:-
 

  • To respond to your training / sailing enquiries;

  • To document your training and sailing qualifications;

  • To discharge our duty-of-care to you should you be injured or fall ill whilst with us;

  • To offer your further sailing or training opportunities;

  • To facilitate delivery of your vessel or training aboard it;

  • To take payments and to process refunds;

  • To investigate complaints on your behalf.
     

We use the information that you have given us in order to respond, document and to contact you. We may share this information with the Royal Yachting Association (RYA) to document your sailing qualification. The RYA may also use the information we hold in order to contact you for quality assurance purposes and to assist the investigation of complaints. We may also share this information with anyone you have asked us to (for example to put you in contact with sailing buddies or sailing opportunities). We will not share your information with anyone without your permission.
 

Under the UK General Data Protection Regulation (UK GDPR), the lawful purposes we rely on for processing this information are:-
 

  • Your consent (you are able to remove your consent at any time, and you can do this by contacting us at  gdpr@academysailing.co.uk);

  • We have a contractual obligation;

  • We have a legal obligation;

  • We have a vital interest;

  • We need it to perform a public task;

  • We have a legitimate interest.

 

How We Store Your Personal Information
 

Your information is securely stored in electronic format. It is also stored in paper format during training events for the purpose of ease of access (for example the instructor having next-of-kin details and medical and health information you provide).

We keep contacts details, dates-of-birth, qualifications, and training records for up to ten years. We will then dispose of your information by shredding paper records and permanently deleting electronic data records including any back-ups.

 

Your Data Protection Rights

Under data protection law, you have rights including:-

  • Your right of access; You have the right to ask us for copies of your personal information.

  • Your right to rectification; You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 

  • Your right to erasure; You have the right to ask us to erase your personal information in certain circumstances. 

  • Your right to restriction of processing; You have the right to ask us to restrict the processing of your personal information in certain circumstances. 

  • Your right to object to processing; You have the the right to object to the processing of your personal information in certain circumstances.

  • Your right to data portability; You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, by law we have one month to respond to you.

How To Complain

If you have any concerns about our use of your personal information, you can make a complaint to us at complaint@academysailing.co.uk.

You can also complain to the Information Commissioner's Office (ICO) if you are unhappy with how we have used your data.
